The platform is built on Microsoft Azure and designed with privacy, isolation, and business control in mind. At the same time, HeyXera depends on uploaded content being available for retrieval, indexing, and AI-assisted response generation. That means uploaded files are not merely displayed — they are stored and processed to make the workspace useful.

How data is used inside HeyXera
To make HeyXera useful, uploaded content is stored and processed so it can be searched, retrieved, and used to generate relevant answers inside the workspace.
Storage and retrieval
Files uploaded to HeyXera are stored in cloud infrastructure and prepared for retrieval so the system can find relevant information when users ask questions.
This allows the platform to search business content instead of relying on vague, generic answers.
AI-assisted answers
Uploaded content may be used to generate AI-assisted answers inside the workspace. In practice, the system uses the available documents to respond to user questions more accurately and more quickly.
The platform is intended to help users work with their own business knowledge more effectively.
Workspace access matters
If a workspace is shared across multiple members, or if more than one administrator has access, uploaded content may be accessible within that workspace according to the permissions and practices used by the customer.
Customers should only upload content that is appropriate for the users and administrators who can access that workspace.
Customer responsibilities and recommended use
HeyXera is built as a private business environment, but customers remain responsible for the content they upload, the internal access they grant, and the governance practices they apply inside their own workspace. Customers should evaluate whether specific files are appropriate to store and retrieve through an AI-supported environment.

Policies, playbooks, knowledge articles, support documentation, onboarding material, process documents, and other business content appropriate for your workspace users.
Use caution with
Highly sensitive, restricted, regulated, or access-limited information that should not be visible within a shared workspace, especially where multiple members or multiple admins are involved.
Customers should implement their own internal rules for who can upload, who can administer, and what categories of information are appropriate to place inside the platform. A private environment does not remove the need for sensible business data governance.
